Academic Progress Reporting

NC State University uses the Academic Progress Reporting tool to allow instructors to easily communicate quick feedback, especially areas of concern, to students.

The tool is designed as a timely intervention to identify and contact students who are having academic challenges, with the goal of providing successful subsequent interventions before students withdraw or get too far behind in their coursework.

Academic Progress Reporting should be reported through the Faculty Center in the MyPack Portal, specifically from the Progress Reporting icon to the right of your Course Roster icon. Examples of reporting may include poor attendance, poor quality or failing work, late/missing assignments, low exam/quiz scores, etc.

Goals of Academic Progress Reporting

  • Notify students and advisors early in the semester that the student is potentially at risk of not being successful in a course
  • Actively assist students in becoming academically successfully by connecting them to university resources
  • Demonstrate care, support, and encouragement to students

Reasons Why a Student Might be Identified in Academic Progress Reporting

A student should be identified by an instructor if he/she is not doing well in a course, which could be due to any number of factors including:

  • Poor Attendance
  • Consistent Tardiness
  • Lack of Participation/Motivation
  • Poor Quality or Failing Work
  • Late/Missing Assignments
  • Incomplete Assignments
  • Low Exam/Quiz Scores

Instructors are encouraged to provide Academic Progress Reporting notifications to students within the first six weeks of classes, but can make them at any time throughout the semester. Due to the timely nature of this intervention instructors are encouraged to provide notifications as soon as possible.

Sharing On-Going Concerns

When students have repeatedly missed classes and have not responded to outreach (either personally or through an academic progress report), it can often be a sign of larger concerns.  In this case, instructors are encouraged to separately submit a referral through Prevention Services’ CARES portal.

Prevention Services is an office devoted to supporting students when others in the community have expressed a concern about their well-being or where the student has exhibited some concerning or worrisome behavior. Once submitted, a staff member will work with you and the student to provide support and resources.  Other examples of concerning or worrisome behaviors may include direct statements indicating distress, significant changes in mood, angry or hostile outbursts, deterioration in physical appearance, excessive fatigue, etc.

Directions to Submit a Report

The Progress Reporting Tool is accessible from the Faculty Center in the MyPack Portal, specifically from the Progress Reporting icon to the right of your Course Roster icon (Progress Reporting icon looks like a mini spiral notebook). If you check any of the boxes for Poor Grades, Unsatisfactory Homework, Excessive Absences, or Other, it is recommended that you include a comment. In your comments please (1) identify your concerns, (2) provide recommendations for suggested actions and/or behavior changes the student can make to improve the chances of a more successful course outcome, and (3) identify potential consequences if the student does not heed your advice.

What Happens Next?

After an instructor submits an Academic Progress Report, an email will be generated that is sent to the student, which will include the comments as written by the faculty member, as well as any other information included on the form. If you check any of the boxes for Poor Grades, Unsatisfactory Homework, Excessive Absences, or Other, the student’s academic advisor will also receive a notification email. The student may then be contacted by his/her academic advisor to discuss specific strategies for improvement, as well as be referred to the various university resources to assist the student.

Reporting Tips for Faculty

  • Be sure to check a box when indicating a potential academic challenge for a student.
  • Remember that students and academic advisors will see the specific comments that you include in the Academic Progress Reporting. Helpful comments will be instructive to students and suggest recommended courses of action such as contacting the instructor to meet and discuss academic progress, specific strategies to make improvement in class or referrals to specific university resources.
  • Research indicates that engagement with faculty is critical to a student’s success in the classroom. A recent Gallup study of college graduates demonstrated the importance of emotional support to student success in college. Students who reported receiving strong emotional support (having an instructor get them excited about learning, feeling like an instructor cared about them as people, and having a mentor that provided encouragement) were twice as likely to be engaged in their work. Note for Advisors

You will be able to check on the status of all of our advisees by looking at your list of advisees in the MyPack Portal. Students that have Academic Progress Reports will be indicated with a red X next to their name. After following up with a student, if appropriate, you can make a note in the advising comments notes in the Advising Dashboard.
